Who we are
Dotty&Dash is the data controller for the Landlord Finder service. Contact: hello@dottyanddash.ai
What personal data we process
Landlord Finder displays publicly available information about UK landlords, including:
- Company names and registration numbers (Companies House)
- Director names and dates of appointment (Companies House)
- Correspondence addresses (Companies House and HM Land Registry)
- Property addresses and ownership records (HM Land Registry CCOD and OCOD)
- HMO licence holders and licensed property addresses (council registers)
- Phone numbers, email addresses, websites where published by the company themselves on their public website
For our subscribers, we process: name, email address, payment information (handled by Stripe), and usage logs.
Where the data comes from
- HM Land Registry: Commercial and Corporate Owner Data (CCOD) and Overseas Companies Owning Data (OCOD)
- Companies House: company register and officer records
- Local authorities: Public HMO and Selective Licensing registers
- Company websites: contact details published by each company themselves on their public-facing site
Lawful basis
We process personal data under our legitimate interests in providing a useful business-to-business service to UK estate and letting agents. We have completed a Legitimate Interests Assessment (LIA). All data we display is already in the public domain, sourced from official government registers and the data subjects' own published business contact details.
For subscribers, we process your data to operate your account under the contract we have with you.
How long we keep it
Landlord records: refreshed monthly from source registers. Old records are replaced.
Subscriber records: kept while your account is active and for 7 years after cancellation for accounting purposes.
Your rights
Under UK GDPR, you have the right to:
- Access the personal data we hold about you
- Rectify inaccurate data
- Erasure (in certain circumstances)
- Object to processing based on legitimate interests
- Restrict processing
- Data portability
- Lodge a complaint with the ICO (ico.org.uk)
To exercise any of these rights, including requesting removal from our search index, use our Data Subject Request form or email hello@dottyanddash.ai. We will respond within 30 days.
Note on public register data
The data we display is derived from public government registers (HM Land Registry, Companies House, council HMO registers) which are legally required to be publicly available. Erasure of data we hold may not result in erasure from the underlying public register, which is maintained by the relevant statutory body. We can remove a record from our search index, but the source data will continue to exist.
Cookies and tracking
We use minimal browser localStorage to remember your free-tier search quota and login state. We do not use third-party analytics cookies or advertising trackers.
Sharing
We do not sell or share landlord data with third parties. Subscriber payment data is processed by Stripe under their own privacy policy.
Guidance for our users
If you are a subscriber using Landlord Finder to contact landlords, you become the data controller for that outreach activity. You are responsible for:
- Ensuring you have a lawful basis to contact the landlord
- Checking the TPS register before cold-calling individuals
- Complying with PECR for marketing emails (consent required for individuals)
- Identifying yourself, your purpose, and how to opt out in every communication
- Respecting any objections or requests to cease contact
Postal mail to verified correspondence addresses is the lowest-risk channel.
